Cancellation Policy – We Ride Mongolia

At We Ride Mongolia, every expedition is carefully planned months in advance. We make advance payments for motorcycles, accommodations, support vehicles, permits, staff, and logistics to ensure a seamless experience for our riders. For this reason, the following cancellation policy applies to all bookings.
Booking & Deposit

  • A non-refundable deposit of USD 500 per rider is required to secure your place on the expedition.
  • Your booking is confirmed only after the deposit has been received.
  • The remaining balance must be paid according to the payment schedule provided at the time of booking.

Cancellation by Participant
More than 90 Days Before Departure

  • Any amount paid beyond the deposit will be refunded.
  • The USD 500 deposit remains non-refundable.

61–90 Days Before Departure

  • 50% of the total expedition price will be refunded.

31–60 Days Before Departure

  • 25% of the total expedition price will be refunded.

30 Days or Less Before Departure

  • No refund will be provided.

Transfer of Booking

  • If you are unable to join the expedition, you may transfer your booking to another rider, subject to approval by We Ride Mongolia.
  • Any administrative or modification costs incurred will be charged to the original participant.

Trip Cancellation Insurance
We strongly recommend that all participants purchase comprehensive travel insurance, including:

  • Trip cancellation coverage
  • Medical expenses
  • Emergency evacuation
  • Motorcycle riding coverage (where applicable)
  • Personal accident coverage

Any claims relating to cancellation due to illness, injury, family emergency, or other unforeseen circumstances should be made directly with your insurance provider.
Cancellation by We Ride Mongolia
In the unlikely event that We Ride Mongolia must cancel an expedition due to circumstances beyond our control, insufficient participation, government restrictions, natural disasters, political unrest, or force majeure events, participants will be offered:

  1. A transfer to a future expedition, or
  2. A refund of payments made to We Ride Mongolia, excluding any unrecoverable third-party costs already incurred.

We Ride Mongolia shall not be responsible for additional expenses such as flights, visas, hotel bookings, travel insurance, or any other personal travel arrangements.
Force Majeure
We Ride Mongolia shall not be liable for delays, route changes, modifications, or cancellations caused by circumstances beyond our reasonable control, including but not limited to natural disasters, extreme weather, pandemics, government actions, border closures, civil unrest, strikes, or other unforeseen events.
Acceptance of Policy
By paying a deposit or any part of the expedition fee, the participant acknowledges and accepts this Cancellation Policy in full.
